Job Description

Duties and Responsibilities:  Responsible for assisting Senior Trust Officer and Client Advisory Team in the daily administration of personal trust, estate and wealth management relationships  Work closely with Senior Trust Officer and Client Advisors on a day-to-day basis, relieving them of the necessity of handling administrative details while maintaining workflow  Act as a point of contact with clients, trust beneficiaries and their advisers, co-fiduciaries, and internal company personnel  Coordinate information requests for investments and other business activities with client, client assistants and other outside advisors  Assist in setting up accounts, assets, distributions, disbursements and client working files  Ensure that integrity of account information to produce timely, error-free client statements  Assist in monitoring and meeting compliance issues on each account  Prepare annual trust administrative and investment reviews  Monitor all investment account changes to ensure successful implementation (in conjunction with Senior Trust Officer and Client Advisors)  You will assist with scheduling and organizing meetings, travel arrangements, as well as assist on special projects and reports as required  Calendar management and expense report preparation  Provide assistance in preparing client and prospect marketing presentations and investment reports  Perform general administrative functions  Perform concierge services for clients as needed, and perform special projects relating to client billing issues and mail such as address changes, account changes, inquiry phone calls and other projects. Also assist regarding insurance inquiries and coordination with insurance companies.  Handle other duties as assigned or requested

 

Requirements

Skill Set and Experience Requirements:  Prior experience in personal trust administration, preferably 2+ years  Prior experience with trust operations preferred  SEI experience strongly preferred  Strong interpersonal, organizational and communication skills, and initiative  Strong judgment and ability to use discretion and make decisions  Extensive background in use of Windows and Microsoft based products, including Office applications (Word, Excel, PowerPoint and Outlook), Internet applications  Attention to detail and organizational skills must be a strength  Proofreading skills  Mail, courier and in/outbox processing for managers  Perform general administrative functions, including occasional back-up to front desk, helping with kitchens and back up of other administrative staff in case of vacations etc Other Essential Candidate Traits:  Ability to maintain extreme confidentiality in dealing with client matters  Ability to “multi-task”, manage several projects at one time, and follow through to completion  Ability to be proactive and anticipate issues and problems and work quickly and proactively to solve them  Team player  Willingness to learn, expand responsibility
